2. Summary
We collect information to operate our websites, provide downloads, support the Wool Insights application and portal, deliver reports and insights, communicate with customers and prospects, secure our systems, prevent abuse, and comply with legal obligations.
For our public websites, we use privacy-conscious, server-side analytics and infrastructure logs to understand aggregate traffic trends, approximate visitor geography, top pages, referrers, campaign paths, and download activity. We do not currently use analytics cookies, advertising pixels, session replay, retargeting, cross-site behavioral advertising, or third-party advertising trackers on our public websites.
For application downloads, we maintain a separate download audit dataset for security, abuse prevention, troubleshooting, and business audit purposes. This dataset may include IP addresses for a limited period and hashed IP values for longer-term abuse analysis.
3. Information we collect
3.1 Information you provide to us
We may collect information you choose to provide, including:
- name;
- business email address;
- phone number;
- company or organization;
- job title;
- mailing address;
- contact preferences;
- account or portal registration information;
- license key or entitlement information;
- support requests, messages, attachments, and troubleshooting information;
- information submitted through website forms, demo requests, partner landing pages, surveys, or events; and
- other information you choose to provide to us.
Please do not submit passwords, private keys, secrets, regulated personal data, or confidential third-party data through website forms or support messages unless we specifically request that information through an approved secure channel.
3.2 Website analytics and request information
When you visit our websites or partner landing pages, our infrastructure may automatically process technical information such as:
- requested page or path;
- date and time of request;
- referrer URL;
- campaign parameters, such as UTM source, medium, and campaign;
- browser or user-agent type;
- device type and operating system information;
- response status;
- bytes transferred;
- approximate country, region, or city inferred from IP address;
- routing, caching, security, and diagnostic identifiers generated by our infrastructure providers; and
- IP address, where processed by our infrastructure for security, routing, and logging.
We use this information to understand aggregate website usage, improve our website, measure partner or campaign performance, troubleshoot errors, secure our systems, and prevent abuse.
For general website analytics, we do not export every ordinary pageview into a durable business database. We use infrastructure analytics, Azure Front Door reports, Log Analytics, and aggregate reporting for normal website traffic analysis.
3.3 Download audit information
When you download a Wool Data application, installer, update, or related file, we may collect and retain a download audit record that includes:
- date and time of the download request;
- requested file path, stored without query string where feasible;
- host or download page;
- response status;
- bytes transferred;
- cache status;
- Azure Front Door point-of-presence or routing information;
- security or routing identifiers, such as tracking reference values;
- referrer;
- user-agent;
- IP address;
- hashed IP address; and
- approximate location derived from IP address.
We use download audit information to confirm application distribution, troubleshoot download issues, detect excessive or automated download activity, prevent abuse, protect our systems, investigate security incidents, and enforce our terms.
We do not use download audit information for targeted advertising.
3.4 Wool Insights application, portal, and customer data
The Wool Insights application and related services may collect, process, and transmit information needed to provide Wool Insights functionality, including:
- infrastructure operations data;
- infrastructure configuration data;
- infrastructure performance data;
- storage, compute, network, capacity, utilization, and environment metadata;
- public cloud billing and usage data, if submitted or connected;
- license key, entitlement, and activation information;
- portal account information;
- Wool Insights Reports;
- processed outputs and recommendations;
- application diagnostic events;
- error messages and troubleshooting information; and
- optional logs if you choose to enable log sharing.
We refer to infrastructure operations, configuration, and performance data as “Operational Metadata.” We use Operational Metadata, cloud billing and usage data, and related customer-submitted data to provide the Wool Insights application, portal, reports, analytics, benchmarking, recommendations, support, troubleshooting, and security.
You are responsible for reviewing and, where appropriate, scrubbing or anonymizing your Operational Metadata, cloud billing and usage data, logs, or other submitted data before submitting it to Wool Data. You should not submit secrets, passwords, private keys, regulated personal data, or other sensitive information unless your agreement with Wool Data specifically permits it and appropriate safeguards are in place.
3.5 Optional log sharing
The Wool Insights application may offer an option to allow log sharing for application improvement, support, diagnostics, or troubleshooting. If you enable log sharing, logs may include information such as:
- application version;
- license status or entitlement status;
- diagnostic events;
- error messages;
- timestamps;
- feature usage relevant to support or troubleshooting;
- system configuration metadata; and
- limited environment information needed to diagnose problems.
Do not include passwords, secrets, private keys, regulated personal data, or confidential content in logs. If log sharing is optional in the application, you may choose not to enable it or may disable it as described in the application or applicable documentation.
3.6 Payment information
If you purchase paid services from us, we or our payment processor may collect billing information needed to process the transaction. We do not intentionally store full payment card numbers on our own systems. Payment processing may be handled by a third-party payment processor under its own privacy and security terms.
3.7 Sensitive personal information
We do not intentionally collect sensitive personal information through our public websites. We do not need precise GPS location, government identification numbers, health information, biometric information, religious or political beliefs, or similar sensitive information to operate our public website.
If a customer submits sensitive information through the Wool Insights application, support channels, logs, or uploaded files, that information is processed according to the applicable agreement, this Privacy Notice, and any other applicable terms.
3.8 Information from third parties
We may receive information from business partners, OEMs, resellers, referral partners, service providers, or customers where necessary to respond to inquiries, administer partner programs, provide Wool Insights services, support a customer engagement, or manage application licensing.
4. How we use information
We may use information for the following purposes:
- to operate, maintain, and improve our websites, landing pages, applications, portal, downloads, and services;
- to provide the Wool Insights application, portal, reports, analytics, recommendations, and related services;
- to process license keys, entitlements, activation, updates, and application access;
- to respond to demo requests, contact forms, partner page submissions, sales inquiries, and support requests;
- to provide application downloads and updates;
- to maintain download audit records for security, troubleshooting, abuse prevention, and business audit purposes;
- to analyze aggregate website trends, approximate locations, top pages, referrers, campaign paths, and download activity;
- to secure our systems, detect abuse, troubleshoot errors, prevent fraud, and investigate suspicious activity;
- to communicate administrative, service, security, and support messages;
- to send marketing communications where permitted by law and your communication preferences;
- to create aggregated or anonymized statistics, benchmarks, analyses, and trend reports;
- to comply with legal obligations and enforce our agreements; and
- for other purposes disclosed at the time of collection or with your consent.
5. Website analytics, cookies, and tracking
We currently use privacy-conscious, server-side analytics and infrastructure logs for our public websites. These analytics help us understand aggregate information such as:
- number of requests or visits;
- pages viewed;
- top URLs;
- referrers;
- campaign paths and UTM parameters;
- approximate country, region, or city;
- user-agent and browser type;
- device type;
- download activity; and
- general usage trends.
We do not currently use analytics cookies, advertising pixels, session replay, retargeting, cross-site behavioral advertising, or third-party advertising trackers on our public websites.
We may use cookies or similar technologies that are strictly necessary to operate our websites, portal, or application, such as security, authentication, session management, or load-balancing technologies.
If we add non-essential cookies, advertising pixels, session replay, retargeting, or cross-site behavioral advertising technologies in the future, we will update this Privacy Notice and provide any consent or opt-out controls required by applicable law.
6. Approximate location
We may infer approximate location, such as country, region, or city, from an IP address for analytics, security, routing, fraud prevention, and troubleshooting. We do not collect precise GPS location from public website visitors.
7. Partner and co-branded landing pages
We may operate landing pages, microsites, campaign pages, or download pages in connection with OEMs, resellers, technology partners, or other business partners.
If you only visit a partner or co-branded page, we may use aggregate analytics to understand page traffic, referrers, campaign performance, approximate geography, and downloads.
If you submit a form on a partner or co-branded page, we may share the information you provide, such as your name, business contact information, company, job title, and inquiry details, with the partner identified on that page so that Wool Data, the partner, or an authorized representative may respond to your request, provide product information, arrange a demo, or support the related customer engagement.
We may also share aggregate campaign performance information with partners, such as page traffic, conversion counts, approximate geographic trends, and download counts, where that information does not identify individual visitors.
8. Application downloads and abuse prevention
For application downloads, we maintain a separate download audit dataset from general website analytics. We may retain raw IP addresses in the download audit dataset for a limited period because they help us detect excessive downloads, automated abuse, suspicious activity, download failures, fraud, or security incidents.
We may also retain hashed IP addresses and aggregate download statistics for longer-term abuse prevention and reporting. Hashing helps us recognize repeated activity patterns without retaining the raw IP address for the same length of time.
We store download paths without query strings where feasible and avoid retaining full URLs if they may contain license keys, email addresses, customer names, SAS tokens, or other sensitive values.
9. Artificial intelligence features
Some Wool Data products or services may use artificial intelligence, machine learning, or similar technologies to generate insights, summaries, recommendations, or reports.
Where AI features are used, we may process customer-submitted inputs, Operational Metadata, cloud billing and usage data, outputs, prompts, reports, and related context to provide the requested AI-enabled functionality. We may use Microsoft Azure AI or other contracted service providers to support these features.
We do not use customer Operational Metadata or customer content to train general-purpose AI models unless we disclose that use and obtain any required authorization. AI-generated outputs may be inaccurate or incomplete and should be reviewed before being used for operational or business decisions.
10. Aggregated and anonymized information
We may create aggregated, de-identified, or anonymized information from website data, download data, Operational Metadata, cloud billing and usage data, reports, and service usage. We may use this information to analyze trends, improve products, create benchmarks, develop statistical analyses, conduct research, support partner engagements, and improve Wool Data services.
We do not attempt to re-identify information that has been anonymized in a manner designed not to reasonably identify you or your organization.
11. How we disclose information
We may disclose information to the following categories of recipients:
- Service providers and subprocessors, such as cloud hosting, infrastructure, security, logging, monitoring, email, support, analytics, payment, and AI service providers;
- Business partners, OEMs, resellers, referral partners, or technology partners, where you interact with a partner page, partner-sponsored engagement, or partner-supported service;
- Customer-designated recipients, where your organization authorizes us to share reports, processed outputs, or other information;
- Professional advisors, such as attorneys, accountants, auditors, and insurers;
- Authorities or third parties for legal reasons, where required to comply with law, legal process, security obligations, or to protect rights, safety, and property;
- Transaction parties, in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction; and
- Affiliates, if applicable, where they process information consistently with this Privacy Notice.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We do not use public website analytics for targeted advertising.
12. Legal bases for processing
If you are located in a jurisdiction that requires a legal basis for processing personal information, we process personal information based on one or more of the following legal bases:
- Performance of a contract, including providing Wool Data services, downloads, support, license management, application functionality, portal access, and reports;
- Legitimate interests, including website analytics, security, abuse prevention, troubleshooting, product improvement, customer communications, download auditing, and business administration;
- Consent, where we ask for consent, such as optional marketing communications, optional log sharing where applicable, or future non-essential tracking technologies;
- Legal obligations, where processing is necessary to comply with law, legal process, or regulatory requirements; and
- Protection of rights and safety, where necessary to protect Wool Data, customers, users, systems, or others.
13. Retention
We retain information only for as long as reasonably necessary for the purposes described in this Privacy Notice, unless a longer retention period is required or permitted by law, contract, dispute resolution, security investigation, or legitimate business need.
Our current intended retention practices are:
| Data category | Typical retention |

14. Security
We use technical and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure. These measures may include encryption in transit, access controls, role-based permissions, logging, monitoring, backups, vulnerability management, and security review of service providers.
No method of electronic transmission or storage is completely secure. You should use secure systems and approved channels when submitting information to Wool Data and should not submit secrets, passwords, private keys, or regulated data unless specifically requested through an approved secure process.
15. International transfers
Wool Data is based in the United States, and information may be processed in the United States and other countries where we or our service providers operate. These countries may have data protection laws different from those in your location.
Where required, we use appropriate safeguards for international transfers of personal information.

Depending on your location and applicable law, you may have rights to:
- request access to personal information we maintain about you;
- request correction of inaccurate personal information;
- request deletion of personal information;
- request a copy of personal information you provided;

17. Marketing communications
You may opt out of marketing emails by using the unsubscribe link in the email or by contacting us at privacy@wooldata.com. We may still send non-marketing communications, such as service, support, security, license, billing, or administrative messages.
